PRIVACY POLICY
Introduction
This Privacy Policy explains how Human Intelligence Studio Limited ("Partner Pro", "we", "us") collects, uses, shares, and protects personal data in connection with the Partner Pro affiliate, referral, and influencer marketing application for Shopify (the "App") and the Partner Pro website (together, the "Services").
Partner Pro is provided to Shopify merchants ("Merchants"). When a Merchant installs the App, the Merchant is the data controller of the personal data processed through it, and Partner Pro acts as a data processor / service provider on the Merchant's behalf. For our website and our own business records, Partner Pro is the controller.
1. Who this policy covers
• Merchants — Shopify store owners and their staff who install and use the App.
• Affiliates — people who sign up to a Merchant's affiliate/referral program through the Partner Pro affiliate portal.
• Customers — shoppers of a Merchant's store whose orders may be attributed to an affiliate.
• Website visitors — visitors to the Partner Pro marketing site.
2. Personal data we collect
From Merchants
- • Shopify store identifiers (shop domain, shop ID), store owner name, email, currency, and timezone.
- • An OAuth access token used to call the Shopify Admin API on the store's behalf (stored encrypted at rest).
- • App configuration, billing/subscription status, and audit logs of admin actions.
From Affiliates
- • Account and profile data: name, email, referral code, password (stored only as an Argon2id hash — never in plain text), language preference, and any custom application-form fields the Merchant configures.
- • Payout details the affiliate or Merchant provides (e.g. PayPal email, bank/Wise recipient identifiers) to process commission payouts.
- • Activity data: referrals, commissions, bonuses, and leaderboard standings.
From a Merchant's store (about Customers)
With the Merchant's authorization (via the Shopify scopes granted at install, including read_customers and read_orders), we process:
- • Order data (order ID/number, amounts, line items, refunds, cancellations) to attribute sales to affiliates and calculate commissions.
- • Customer identifiers (such as customer ID and email) where needed to attribute an order or to build a Merchant's leads/affiliate-recruitment list.
- • Click and conversion tracking data: a first-party cookie (
pp_aff), referral codes, landing pages, IP address, and timestamps.
From website visitors
- • Standard server and analytics data (e.g. IP address, browser type, pages viewed) and anything you submit through contact forms.
We do not intentionally collect special-category data, and the App is not directed at children.
3. How we use personal data
- • To provide and operate the App's core features: tracking, attribution, commission calculation, referrals, payouts, bonuses, and reporting.
- • To authenticate affiliates and secure the affiliate portal.
- • To send transactional and Merchant-initiated emails (e.g. affiliate invitations, approvals, payout notifications, and Merchant broadcast campaigns).
- • To process commission payouts through third-party payout providers.
- • To provide optional AI-assisted features (application screening and content drafting) at the Merchant's direction.
- • To sync affiliate status to a Merchant's connected marketing tools when the Merchant enables that integration.
- • To monitor, debug, secure, and improve the Services, and to prevent fraud and abuse.
- • To comply with legal obligations.
Legal bases (where GDPR/UK GDPR applies): performance of a contract; legitimate interests (operating, securing, and improving the Services and preventing fraud); consent (where required, e.g. certain cookies/marketing); and compliance with legal obligations. For Customer data processed on a Merchant's behalf, the Merchant is responsible for establishing the legal basis.
4. Cookies and tracking
The App sets a first-party pp_aff cookie (and related identifiers via the Shopify Web Pixel and theme app embed) on a Merchant's storefront to attribute referrals. Merchants are responsible for disclosing this in their own store cookie/privacy notices and for obtaining any consent required in their region. Our marketing website uses cookies as described in any banner presented there.
5. How we share personal data — subprocessors
We share personal data only as needed to run the Services, with vetted service providers ("subprocessors") under appropriate contractual protections:

We do not sell personal data. We may also disclose data to comply with law, enforce our terms, or in connection with a merger or acquisition (with notice where required).
6. International transfers
Our subprocessors may process data in countries other than yours. Where required, we rely on appropriate safeguards (such as the EU Standard Contractual Clauses or equivalent mechanisms) for such transfers.
7. Data retention
We retain personal data for as long as a Merchant's account is active and as needed to provide the Services, then delete or anonymize it within a reasonable period, except where longer retention is required for legal, accounting, fraud-prevention, or dispute-resolution purposes. Commission and payout ledgers may be retained in anonymized form after a related person is redacted.
8. Shopify-mandated data handling
• App uninstall: when a Merchant uninstalls the App, we revoke the stored access token and stop processing the store's data.
• customers/data_request: when Shopify forwards a customer data-access request, we compile the personal data we hold about that customer and make it available to the Merchant to fulfill the request.
• customers/redact: we anonymize identifying fields for the specified customer while preserving non-identifying ledger integrity.
• shop/redact: approximately 48 hours after a store is closed/uninstalled, we delete the Merchant's data.
9. Your rights
Depending on your location, you may have rights to access, correct, delete, restrict, or port your personal data, and to object to certain processing.
- • Affiliates and Customers: because the Merchant is the controller of program and store data, please direct requests to the relevant Merchant first. We will assist the Merchant in responding.

You may also have the right to lodge a complaint with your local data protection authority.
10. Security
We use industry-standard measures including encryption of Shopify access tokens at rest, hashed affiliate passwords (Argon2id), HMAC verification of Shopify webhooks, scoped access, and monitoring. No method of transmission or storage is 100% secure, but we work to protect your data.
11. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date and, where appropriate, via additional notice.

TERMS OF SERVICE
Introduction
These Terms of Service ("Terms") govern your access to and use of the Partner Pro affiliate, referral, and influencer marketing application for Shopify (the "App"), provided by Human Intelligence Studio Limited ("Partner Pro", "we", "us"), and our website (together, the "Services"). By installing or using the Services, you ("you", the "Merchant") agree to these Terms. If you do not agree, do not use the Services.
1. The Services
Partner Pro enables Shopify merchants to run affiliate, referral, and influencer programs — including tracking, sales attribution, commission calculation, affiliate management, payouts, bonuses, and reporting. We may add, change, or remove features over time.
2. Eligibility and accounts
You must have an active Shopify store and the authority to bind your business to these Terms. You are responsible for maintaining the security of your account and for all activity that occurs under it, including the actions of your staff and of affiliates you approve.
3. Your responsibilities
• Lawful use. You will use the Services in compliance with all applicable laws, the Shopify Partner Program and API terms, and these Terms.
• Your program. You are solely responsible for the terms of your affiliate program, the commissions and bonuses you offer, the affiliates you approve, and any payments you make to them.
• Privacy and consent. As the controller of your store and program data, you are responsible for your own privacy notices and for obtaining any consents required for tracking (including the pp_aff cookie and pixel) and for processing customer and affiliate personal data. See the Privacy Policy section above.
• Content. You are responsible for content you upload or send through the Services (including emails and campaigns) and for ensuring you have the rights to use it.
• No prohibited use. You will not misuse the Services, attempt to circumvent usage limits or security, reverse engineer the App, or use it to send unlawful, deceptive, or unsolicited communications.
4. Fees and billing
The App may be offered on free and paid plans, including usage-based charges (for example, per attributed referral order, subject to a monthly cap). Paid charges are billed through Shopify Billing and appear on your Shopify invoice. By selecting a paid plan you authorize the applicable recurring and usage-based charges. Plan details and prices are shown in the App and on our listing and may change with notice as permitted by Shopify. Except as required by law or expressly stated, fees are non-refundable.
5. Payouts to affiliates
The Services can facilitate commission payouts through third-party providers (such as PayPal, Wise, and Shopify gift cards). Partner Pro does not hold, owe, or guarantee affiliate funds. You remain responsible for funding and approving payouts, for the accuracy of payout details, and for any taxes, withholding, and reporting obligations associated with payments to your affiliates. Third-party payout providers have their own terms that apply to those transactions.
6. Third-party services
The Services integrate with Shopify and other third-party services (e.g. email, AI, marketing, and payout providers). Your use of those services is subject to their terms, and we are not responsible for them.
7. Intellectual property
We and our licensors own all rights in the Services, including the software, design, and trademarks. We grant you a limited, non-exclusive, non-transferable, revocable right to use the Services during your subscription. You retain ownership of your data; you grant us the rights necessary to process it to provide the Services as described in the Privacy Policy.
8. Availability and support
We aim to keep the Services available and to provide reasonable support at [email protected], but the Services are provided without an uptime guarantee unless separately agreed in writing.
9. Disclaimers
The Services are provided "as is" and "as available" without warranties of any kind, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Services will be uninterrupted, error-free, or that attribution or calculations will be free of inaccuracies.
10. Limitation of liability
To the maximum extent permitted by law, Partner Pro will not be liable for any indirect, incidental, special, consequential, or exemplary damages, or for lost profits, revenue, data, or goodwill. Our total liability arising out of or relating to the Services will not exceed the amounts you paid to us for the Services in the three (3) months preceding the event giving rise to the claim.
11. Indemnification
You will indemnify and hold harmless Partner Pro from claims, losses, and expenses arising out of your use of the Services, your affiliate program, your content, or your breach of these Terms or applicable law.
12. Term and termination
These Terms apply while the App is installed. You may stop using the Services at any time by uninstalling the App. We may suspend or terminate access for breach of these Terms, for risk or abuse, or as required by law or by Shopify. Upon termination, your right to use the Services ends; data handling after uninstall is described in the Privacy Policy.
13. Changes to these Terms
We may update these Terms from time to time. Material changes will be reflected by updating the "Last updated" date and, where appropriate, additional notice. Continued use after changes take effect constitutes acceptance.
14. Governing law
These Terms are governed by the laws of the Hong Kong Special Administrative Region, without regard to conflict-of-laws rules. The courts of Hong Kong will have exclusive jurisdiction, except where applicable law provides otherwise.
